Adam + Corinne = Why We Do What We Do

Hello fans!

Today we are so happy to share the amazing wedding of Adam and Corinne.

Everyone, say hello to Corinne:

Yes, I know, we always have the prettiest brides...

Next up is Adam:

Now to the wedding day: 

The morning started with Corinne getting glam. Her bridesmaids joined her shortly after for some girl time.

The men later went to the kettubah ceremony,  followed by a congratulatory drink:

Have The Perfect Wedding: You Deserve It

Hello one, Hello all!
Let's start with a quick Q&A:
Q. Do Coordinators only work on weekends?
A. Absolutely not! Sure, weekends are usually the event days, but we are working around the clock, accommodating to many clients and their schedules throughout the week.
Q. Do Coordinators just stand their with clipboards and look pretty during the wedding?
A. This we don't know, because we don't do that. At every wedding we do, guests see us working hard and pulling the entire evening together. But yes, we have clipboards. And walkies.
Q. Do Coordinators charge an arm and a leg? 
A. We can't speak on behalf of other coordinators, but the answer to this question depends on how much you understand as far as the coordinator's scope of work, responsibility, and the value you are getting.
Q. Can a friend or family member coordinate a wedding?
A. No. You can try and cross your fingers that everything will be alright. If it's not, it will be too late to change your mind.
Q. Do couples have false promises from vendors and think the Coordinator can solve everything?
A. Yes. This is tricky because sometimes couples have so poorly planned the wedding that we can only salvage what we can come the wedding day. We are the closest thing to miracle workers, but the expectations need to be reasonable when we can't just entirely take over, for say, the caterer!
Moving on...
So, you have it all figured out. You have chosen your florist, your rentals are finalized, and you have one dress fitting left. All set, right?
Well, one question remains: Do you have a Day-of Coordinator(or as we at EFY call ourselves, Wedding Director)? And we are not referring to the coordinator provided by the banquet hall or hotel you will be married at (as it has been proven that they only take care of their portion of work such as the food or wait-staff, regardless of what they tell you).

What? You don't have a Wedding Director? Well, in that case, you are not so ready for the Big Day after all. You have spent endless hours outside of work and/or school to plan the wedding, but you have no one to make sure it ends up perfect?

'Well, Susan, it's an additional cost...a luxury service, if you will"
Is it? Is it a luxury item to make sure the wedding goes perfect?

Your Wedding Director is the one person on your behalf that will tie all the vendors together on the wedding day.
FACT: Your wedding is a production, no matter how big or small the guest count, and no matter how simple or detailed the events of the day are.
You may have the best vendors in town, or you may have cut corners with vendors to save some money here and there. Regardless, your Day-of Coordinator is the only vendor that is working and performing duties on your behalf. To execute it exactly as you planned. Your liaison for all aspects of the wedding and all the vendors involved.

We are your back-up florist, cake decorator, beverage provider, rental issue solver. Some have called us magicians. That we are not. However, we are the closest thing to it on the wedding day.

Between coordination of vendor load-in, inventory, ceremony and reception setup, there is much room for problems: shortage of rental items, incorrect colors/styles of rentals, late vendors, missing vendors, problems due to miscommunication between you and the vendor, seating problems due to wedding crashers or due to not accounting for some guests that RSVP'd yes.  We have had cakes catch on fire, unsightly/incorrect cakes replaced. We have made bridesmaid bouquets ourselves, replaced the wrong vases brought by the florist. We have made beverage runs before and during the event (see photo below). We have done it all. We solve problems and trouble-shoot the entire time as part of our job. We are your insurance policy.There is nothing above us when it comes to getting the job done, including rolling up our sleeves and helping vendors physically do their job.

Not only is the set-up portion imperative to the success of the wedding, we are there to make sure you are on schedule. This is important to you, your guests, and vendors that have been hired on a time-frame. We catch you up as needed, without cutting out important parts of the day.
We are setting up, keeping schedule, greeting guests, managing cocktail hour, lining up for ceremony, managing the reception itinerary, and over-seeing tear down after the reception. Oh, and all your items are returned at the end of the evening, along with the gifts packed up in the designated car, or sent up to your hotel suite before you have the chance to ask!

There are also cultural weddings that have complex itineraries, several ceremonies, more than one cocktail hour, and hundreds of guests that we manage for you.

Our Day-of Coordination service is quite extensive and our involvement is hands on. We take over weeks before the wedding, crossing the t's and dotting the i's for you. Additionally, we are there for you during the planning process, as a resource to you.

BEWARE: The wedding day is not the day to have your Aunt Hilda or cousin Jen to coordinate. They are not experienced or equipped to solve the problems that may, and will, come up. Day-of Coordination is not just telling you when to cut the cake! This is not the day to take risks and assume that everyone will do their job perfectly and on time, and that a curve ball will not head in your direction. Even with the best vendors, things can happen. Unforseen things. Unappreciated things. Things we can handle for you. Also, let your family enjoy the day as guests.
In short, it's a shame when we hear of all the time and money a couple spends on a wedding that was ruined in one way or another, just because they didn't have a Wedding Director. Don't take that chance. Don't chalk it up to 'things happen on the wedding day' because things happen, yes, but it happens to us, not you or your guests. That's why we are there.

Avoid These Bumps in the Road

Imagine this: You are driving. You see some large debris on the road ahead. Do you try to drive over it? Of course you don't. Well, today we would like to share two bumps in the road to avoid for your wedding.

Before we begin, let me start by reminding you that we are Wedding Directors...in essence, Day-of Coordinators. As such, depending on how early in the planning process we are booked, we don't always have the opportunity to let you know which vendors are reliable and/or give the biggest bang for your buck.

Yes, many call us "life-savers", "magicians", etc., but let's try to avoid some problems from the get-go, shall we? A wedding day is already packed with enough things to coordinate, from set-up, to following the itinerary, to tear-down. Much goes on "behind the scenes" without additional adventures!

Of course, we are more than happy to be there for you to really save the day. That's why we you hire us! Nevertheless, let's proceed to the 'bumps':

1- YOU GET WHAT YOU PAY FOR

This is complicated. It certainly does not apply to us or our service. However, when it comes to a product, this 100% applies. Too many times, we have couples who are having a high-end wedding, top of the line, but there are certain things they don't want to pay the extra buck for, such as cake, flowers, and rentals (but want the best). These, my friends, are product providers. It is one thing to get a deal, or discount, but BEWARE! Maybe you won't get what you discussed with that vendor. Hey, it's happened that couples haven't received the product at all! No, it's never fun for us to solve those problems under time constraints.

Two recent clients, with the same wedding day, booked a particular florist. Both  brides were aware of the florist being sketchy (from yelp reviews, and friends/family who had experience with the florist). We knew what each brides centerpieces were supposed to look like, per the samples made by the florist. We know the florist, and warned the brides of possible problems. Especially since the florist had booked two large weddings on one day.

Needless to say, one wedding had the wrong vases, and no bouquets for the bridesmaids (5 of them), with a Matron of Honor bouquet that was more appropriate as a toss bouquet. The other wedding did not have the details that were specified by the bride and discussed with the florist, AND included in the sample centerpiece. Plus, the vases were dirty.

What did we do? I made bouquets with one of the florist's employees out of scrap fabric in the truck and random flowers found. The florist never showed up to this wedding, regardless of promises to be there, and also after several phone calls from us and employees. I took one of the bouquets we made and combined it with the Matron of Honor's bouquet to make it more worthy of holding. The vases, incorrect as they were, were still pretty, but in order to make up for the error they made, I had them add orchid stems so we had orchids submerged in water for the vase bases.

The other wedding, you ask? Well, my team had the florist's employees correct and add as many details promised as possible. They also cleaned the very dirty vases they intended on using for our client's wedding.

Let's not forget a cake we have had to replace... again, because they didn't want to pay the extra dollar.

Oh, yah, and the cake for one of those same weddings came leaking and the fondant was cracking! I called a great cake vendor of mine, and she advised that the cake was leaking because the cake was frozen, then delivered to the ballroom. She said the fondant was cracked because of incorrect ingredients used. She gave instructions to salvage the cake, and so we did.

As Shakar Bakery says, "I stand by my pricing because I believe that art should be valued. Imagine if Prada clothing was sold at Forever 21 prices.Everyone would be able to afford something that's high quality, and although that's wonderful, it makes Prada lose its value. The same goes with cake. If you want great quality detail and work, then you have to be willing to pay the price. It's also important for customers to remember that we pour in a lot of time into their cakes and we make a living off of their orders. It hurts us when they ask for discounts and devalues our efforts. No one asks their hair stylist for a discount for their services!" Well said, Shakar Bakery, well said.

Another recent wedding, again with a very unreliable vendor, chose a rental company that has a track record for shorting on rentals (including linens!), rentals of poor quality, and the worst customer service once he has received payment in full (prior to the wedding day). The linens provided were not the correct measurements, as specified in the invoice. We had to get creative with our use of linens to make them look floor-length. Some of the overlays were unusable because they were damaged. The staff did not arrange the rentals provided. For example, they just wanted to drop off and leave. Not cool.

2- PLAN YOUR DAY REALISTICALLY REGARDING EVERYTHING, ESPECIALLY COCKTAIL HOUR
For some reason, no matter how many times we tell our wonderful couples about the problem we run across for cocktail hour, we just can't seem to escape this issue.

We completely understand that many couples take the time between ceremony and reception to take the majority of their photos as husband and wife. And we love it. You NEED those photos, which means you have to TAKE those photos.

The problem is that sometimes, those photos take very, very long. What does that mean to us? Well, it means that we have guests that are in cocktail hour mode for way too long. We have angry guests by the time we can let them into the ballroom. You might say, "Susan, let the guests in earlier!" Yes, we would love to, but in many cases, we can't without jeopardizing the open bar time frame or without having guests wait inside the ballroom without anything going on.

The cocktail hour problem also arises from miscalculation on the couples part to calculate when guests will arrive at cocktail hour. Just know this: there will be guests that arrive earlier than the call time on the invite, or the time you expect they will arrive.

After ceremony, many guests rush to their cars, and rush even more to the reception venue. Why? I HAVE NO CLUE. It is not a race people! The shrimp will not be gone by the time you get there. I promise! Also, many guests are too late to make it to ceremony, but too early for cocktail hour. Take a wild guess where they decide to go. Bingo! cocktail. No problem for us, we love you, and we love your guests. Our service is all about that... service. We are ready with setup no matter how complicated it is much before any guest ever arrives. However, this is annoying for those guests. Not only is the venue not serving food yet, but the bar is not open. To top it off, they don't know your plans for post-ceremony, so these guests are playing the waiting game from before cocktail hour begins, until we let them into the ballroom.

One, one-and-a-half hours, no problem, and widely appreciated. We have some cocktail hours going on for hours on end. Don't do this to your guests. It is something they remember that they didn't like about your wedding. You don't want that because they will be entering the reception with that bad taste in their mouths.

This is not a problem when you have chosen a photo-op location between your ceremony venue and your reception venue, or near to either one. Also, it is not to be considered a problem for 10 people who decide to skip ceremony and come straight to cocktail hour. They deserve to wait a bit before it starts! But it is a problem when you decide to go somewhere far for post-ceremony photos and delay the evening for the majority of your guests.

This bump has a solution, much like the bump above this one. One solution is (obviously applicable to those that don't see each other prior to ceremony) to provide a cocktail hour (we mean food and drinks) for the entire time we are 'holding' guests prior to allowing them to enter the ballroom. Entertainment of some sort at cocktail hour helps a lot. Another solution is to have something planned in the ballroom for guests, so we can let them into the ballroom in a timely manner. This provides a change of scenery for the guests, and they can spend some time in there without feeling the same anxiety as waiting at cocktail hour. Perhaps you can have some kind of atmosphere entertainers to greet them, etc. Maybe have the salads served?

We can handle all of the above for you. We always do, and we always will. Just thought we would share these things with you, to help you avoid some bumps in the road.

Beautiful Biltmore

It is grand. It is gorgeous. It is historic. It is elegant. It is the Biltmore.

We do many weddings at the Biltmore, and each wedding is a show-stopper.

Today we are featuring Neda and Arash's wedding.

To say that this couple is high-energy is an understatement. The day started with the hair and make-up team at Neda's suite. It was a lot of laughing, talking, anxiety, celebration; and it was loud.

Our groom, Arash, came later to check in his suite and it was go, go, go (as it always is with Arash).

Their first look was a memorable one, at the grand balcony:





After seeing each other, they were off to take some photos on their own in Biltmore and it's gorgeous surrounding property. Yes, it was only fitting that we had a stunning classic car for photos :)




After taking some photos on their own, and then some formal photos with family and close friends, cocktail hour started for guests as they entered to sign the kettubah.

After cocktail hour and kettubah ceremony was done, guests were escorted to the Chuppa ceremony.

After the ceremony, guests were escorted to the Crystal Ballroom for the reception.

The reception was beautiful in décor and florals. It was also super fun, with the top of the line entertainment by Kasha Ensemble (aka Allen G. Orchestra).
